  • Financial & Billing Data: Credit card details, bank account details, or digital payment gateway credentials used to process bi-weekly invoices in US Dollars ($ USD).
  • Operational Project Data: Specific tasks, schedules, volumetric caps, and system requirements outlined in Statements of Work (SOW).

B. Virtual Assistant / Contractor Information

To manage our active vendor pool, we collect:

  • Professional Profiles: Full legal name, address, contact details, resume, portfolios, skills profiles, and background check verifications.
  • Performance & Tracking Data: Logged working hours and transparency data recorded via Agency-approved digital tracking tools.
  • Payout & Tax Data: Payment routing details, and tax declarations (acknowledging that Contractors assume exclusive liability for local statutory contributions such as SSS, PhilHealth, and Pag-IBIG).

C. System & Platform Data

  • Access Credentials: Authorized, restricted system access details provided securely via password managers (e.g., LastPass, 1Password) or secure VPNs.

3. How We Use Your Information

DelegatesVA utilizes collected data to fulfill our primary operational mandates, specifically to:

  • Provision, maintain, and ensure continuous quality delivery of our virtual assistant support services.
  • Process bi-weekly financial invoices, track billable surge hours, and handle contractor disbursements.
  • Maintain account security, monitor platform integrity, and enforce system security infrastructure.
  • Enforce our structural agreements, including non-solicitation, zero-bypass provisions, and anti-circumvention protections.

4. Information Sharing and Disclosure

We do not sell personal data. Your information is only shared under the following parameters:

  • Between Clients and Assigned Specialists: Necessary operational profiles, task systems, and workflows are shared between the Client and their designated Virtual Assistant to ensure continuity of service.
  • Legal & Corporate Governance: Data may be disclosed if required by law, to enforce our Master Services Agreements, or to cooperate with regulatory bodies like the Philippine Securities and Exchange Commission (SEC).
  • Third-Party Processors: We utilize secure digital payment gateways and software tracking utilities which are contractually bound to safeguard your data.

5. System Access & Credential Safety

  • Secure Integration: Clients agree to grant access to their corporate systems exclusively via encrypted modern password managers or secure enterprise credentials.
  • Liability Boundary: While the Agency enforces strict internal data security protocols and Mandated NDA frameworks with its workforce, the Client retains ultimate ownership and configuration liability for the security of their corporate systems.
  • Data Erasure: Virtual Assistants are contractually mandated to instantly delete or return all digital credentials and records upon project completion or direct request by the Agency.

6. Data Security

DelegatesVA employs reasonable administrative, technical, and physical security measures to shield your data against unauthorized access, loss, alteration, or disclosure. This includes platform security infrastructures, encrypted communication lines, and restricted operational data compartmentalization.

Depending on your geographical location (e.g., the Philippines, California, or the EU), you may hold the following rights regarding your data:

  • The right to access, update, or rectify your personal data.
  • The right to request the erasure or restriction of your information.
  • The right to object to processing or withdraw consent where processing is based on consent.

8. Governing Law and Dispute Resolution
